The Risk You Don't See Until It's Too Late

You didn't become a therapist because you love policies and regulations.

You became a therapist because you wanted to help people.

That's why compliance often ends up at the bottom of the to-do list. There's another client to see. Another note to finish. Another staff meeting. Another fire to put out.

It's easy to tell yourself, We'll deal with compliance when the practice gets bigger.

But that's the trap.

Recently, I sat down with Dr. Natasha Guess, founder of Guess Compliance & Consulting, and one sentence from our conversation has stayed with me ever since:

"You can't fix what you don't know about."

That isn't just true for compliance. It's true for almost every bottleneck in a growing practice.

The Problem Isn't That You Don't Care

I've worked with enough practice owners to know this isn't about laziness.

Most therapists care deeply about doing the right thing.

The problem is that practice owners wear a lot of hats.

You're thinking about hiring.

You're managing payroll.

You're trying to fill your schedule.

You're supporting your team.

Then someone tells you that you also need to understand HIPAA requirements, role-based permissions, documentation standards, security risks, Medicare, Medicaid, and changing regulations.

It's no wonder so many people feel overwhelmed.

Waiting Doesn't Make It Easier

One of the biggest myths Natasha hears is this:

"We'll handle compliance when we're bigger."

At first, that sounds reasonable.

More revenue means more resources, right?

But growth has a way of making small problems much bigger.

When your team grows, more people need access to client information.

More systems get connected.

More documentation gets created.

More opportunities for mistakes show up.

If the right structure isn't there from the beginning, you're not just growing your practice. You're growing your risk.

It's part of building a practice that will still be serving people years from now.

Compliance Is About Protecting People

Sometimes we hear the word compliance and immediately think about government regulations.

But Natasha offered a different perspective.

Compliance protects your clients.

It protects your staff.

It protects your reputation.

It protects the practice you've spent years building.

That's a very different way to think about it.

Instead of asking, "What does the government want me to do?"

A better question might be:

"How do I protect the people who trust me?"

When you start looking at it that way, compliance feels a lot different.

You Can't Fix What You Don't Know About

That was probably my biggest takeaway from our conversation.

You can't solve problems you haven't identified yet.

That's why Natasha starts every client relationship with an assessment.

Not because she assumes something is wrong.

But because it's impossible to build a plan until you know where the gaps are.

You have to know where the gaps are before you can close them.

The same idea applies to every part of your business.

You can't fix marketing problems you haven't measured.

You can't fix workflow problems you haven't noticed.

You can't fix bottlenecks you haven't identified.

Peace of Mind Is Worth More Than You Think

One thing we talked about during the episode was the mental burden that many practice owners carry.

Maybe you've wondered if your documentation is good enough.

Maybe you've questioned whether your policies are current.

Maybe you've worried about what would happen if you received an audit notice tomorrow.

That's a heavy way to run a business.

Good compliance doesn't just help you avoid problems.

It gives you room to focus on the people you're trying to help instead of wondering what might go wrong.

One Thing You Can Do This Week

You don't have to become a compliance expert overnight.

But you also don't have to keep putting it off.

Start by asking one honest question:

"Where might I have a gap I don't even know about yet?"

That question might lead you to review your policies.

It might lead you to schedule a compliance assessment.

Or it might simply help you realize that you don't have to figure everything out on your own.

Helping people is important.

Protecting the practice that allows you to help them is important too.

If This Got You Thinking, Don't Stop Here

If today's article made you realize there may be parts of your practice you've been putting off because you didn't know where to start, you're not alone.

Most therapists didn't learn how to run a business in graduate school. You learned how to help people.

The good news is you don't have to figure it all out by yourself.

Here are a few places to take your next step.

Keep the Conversation Going

If this article hit home, I think you'll enjoy Episode 172 of the Scaling Therapy Practice Podcast with Dr. Natasha Guess.

You Don't Have to Figure It Out Alone

One thing I've learned over the years is this:

Good practice owners aren't experts in everything.

They know who to ask.

That's why I created the Scaling Therapist Service Directory.

It's a place to help therapists find people who understand private practice and can help with the parts of running a business most of us were never taught.

What will be your next step?
